National Events Coordinator

The American Liver Foundation (ALF) is the nation’s leading non-profit organization promoting liver health and disease prevention. ALF provides research, education and advocacy for those affected by liver-related diseases, including hepatitis.

The position description is a guide to the critical duties and essential functions of the job, not an all-inclusive list of responsibilities, qualifications, physical demands and work environment conditions. Position descriptions are reviewed and revised to meet American Liver Foundation’s changing needs, at the sole discretion of management.

PRIMARY FUNCTION/PURPOSE:

The National Special Events Coordinator will report to and support the National Director of Special Events in strategic planning, implementation and evaluation of fundraising efforts through large and small scale national signature campaigns such as the Liver Life Walk, Flavors/Gala, Liver Life Challenge and Make a Difference events. With direction from the National Director of Special Events, this position will also work closely with other division staff from across the country to help ensure that annual objectives and goals are achieved.

ESSENTIAL RESPONSIBILITIES:

Provide support to divisions where only an Executive Director is staffed year round or as needed. Responsibilities would be determined by Executive Director with input from National Director of Special Events. Support could include, but is not limited to:

  • Event support
  • Finance support

Administrative duties

Provide support to staff across the country on a regular basis. Support includes assisting divisions on site for events as needed. Travel schedule will vary throughout the year.

Flavors/Gala support may include:

  • Securing silent and live auction items
  • Do research and make phone calls for Chef recruitment
  • Maintenance of event websites

Liver Life Walk & Liver Life Challenge support may include:

  • Recruitment calls to past participants
  • Writing and sending of recruitment and cultivation emails
  • Welcome calls to registered participants
  • Maintenance of event websites
  • Cold calls to companies for potential teams and sponsors
  • Management of event logistics

Make a Difference support may include:

  • Responding to constituents interested in creating a page
  • Cultivation of active fundraisers
  • Maintenance of event websites

Other Division Fundraisers:

  • Assist as needed with “other” fundraiser a division has scheduled
  • Assist the National Director of Divisions with administrative tasks. Responsibilities include, but are not limited to:
  • Maintain Division MAC & Board databases
  • Management of Dashboards and Division Highlights, including reminders
  • Send out agendas for ED Calls
  • Take and send out minutes for the ED calls
  • Assist with scheduling meetings
  • Assist with national sponsorship fulfillment for secured partners and assist with identifying potential new partners
  • Coordinate communications such as the bi-weekly event updates and monthly division highlights emails
  • Manage relationships and price negotiations with external vendors and event partners
  • Work closely with development staff to ensure they have access to nationally branded materials such as brochures, posters, t-shirts, bibs, etc.
  • Maintain the ALF Master Calendar spreadsheet, and other development related spreadsheets such as weekly walk reports, event demographics, analytics, etc.
  • Assist with the management of the American Liver Foundation annual Leadership Conference
  • Coordinate travel arrangements
  • Assist with logistics, timelines and agendas
  • Assist with recruitment and management of department intern.
  • Administrative duties as needed

QUALIFICATION:

  • Requires a bachelor’s degree or equivalent experience.
  • 2-plus years in non-profit, fundraising, event planning or relevant experience preferre
  • Excellent relationship management skills
  • Strong written and oral communication skills
  • Ability to meet deadlines, stay organized and manage several projects in a fast-paced environment
  • Strong skills working with Microsoft Office applications (Word, Excel, PowerPoint), especially Excel
  • Convio experience a plus
  • Ability to work flexible schedule with occasional night/or weekends with some travel
  • Must enjoy working as a member of a team with an attitude of “pitch-in”, and “no-job-is-too-small”, on multiple projects and handle pressure with grace
  • Ability to lift and carry a minimum of 25 pounds

WORKING ENVIRONMENT:

  • Standard office setting. Position is required to work from the NYC office.
